Your access and verify codes will still work you will need to call ESD (help desk) at 855-673-4357 press option number 1 four times to bypass the recordings to have them remove the disuse status from CPRS vista that you will be able to log on.

Starting in 2023, trainees need to login every 30 days to maintain access. Login remotely using PIV card readers which are available from Cynthia or from the VA IT (basement red elevator) or VA Education office (4th floor, red elevator).

Don’t Log in for 30 Days
- Account made “inactive”
- Call National Help Desk at 855-673-4357 to have account reactivated
- Must log-in within 24 hours or the account will be “inactivated” again
Don’t Log in for 90 Days
- Will be removed from the VA Active Directory
- The National Help Desk cannot reactivate the account
- Trainee must come to Education for a ticket to be entered. It will take 3-5 days for reactivation. If they do not log in within 7 days, the account will again be removed from the system.
- Once the account is reactivated, the trainee can receive a 14 day exemption and will need to get a new PIV card during that time.
Delinquent Mandatory Training for Trainees in TMS
- If the annual Mandatory Training for Trainees TMS Course is overdue by <30 days, the National Help Desk can remove the delinquency flag and reactivate the account.
- If the annual Mandatory Training for Trainees TMS Course is overdue by >30 days, trainees must come to Education so a ticket can be placed with the local IT to update their account status.

For any issues with access to TMS, contact the local VA TMS administrator (Valerie Williams) at 713-791-1414, extension 25654, during business hours. She can reset your access fairly quickly.

How to make a TMS account

First, you will need to Self-Enroll* in TMS 2.0 (https://www.tms.va.gov/SecureAuth35/) and will you need the following facility specific information:

Try these troubleshooting steps

 

If you get the error showed in this image (can't provide a secure connection), the issue may be caused by securing an SSL connection issues between your browser and HTTPS-enabled website. Try the following steps to troubleshoot
  • Reinstall Citrix workspace and try to login as usual. Could be an old version of Citrix causing the problem
  • If above steps don't work (especially if you have a Mac), contact VA IT (Ph: 855 673 4357). There may be a temporary glitch they can help with.

In 2023, PIV cards were changed to USA (US access cards).

  • Helpful information is available online about smartcards
  • To remove old certificates from the PIV card, use windows search or within "start" type in "certificates". Select "manage certificates" and in the next window, select "personal", then "certificates" to remove the old certificates.
  • Alternatively, to change certificates associated with the previous PIV card, Go to https://raportal.vpn.va.gov/PIVCardReader.aspx and use the certificate cleanup tool at the bottom of the page
  • If you have an Idemia card, it should automatically install the necessary drivers. If for some reason, drivers are not installed, they are available online.
  • To install the latest Federal Common Policy CA to version G2 by going to http://aia.pki.va.gov/pki/aia/FederalPKI and install the updated Cert FedCPG2SHA384.crt
  • If above steps don't work, contact VA IT (Ph: 855 673 4357).

  • ON CALL RESPONSIBILITIES (for BCM – BSLMC - McNair, BSLMC, TCH & MEDVAMC)
    There is no evening or weekend call for the EMG service. There is weekend home call for reading urgent EEG and EMU studies. Occasionally there may be a need for EMU-related activities in person, such as cortical stimulation. Call begins at 5 PM on Friday and ends at 8 AM on Monday for weekends and 5 PM to 8 AM for weeknights on the adult side. Fellows will rotate weekend call. Fellows will be listed on the Neurophysiology call schedule and will be the first point of contact for after hour calls. For pediatric call, pediatric fellows will take cEEG call beginning Friday 5pm lasting until 7am (14 hour call). While on pediatric rotations, adult fellows will only take pediatric call and vice versa, with exceptions granted as needed (for example, for approved call trades).
  • Weekend Call expectations:
    1. The fellow on call is expected to touch base with faculty on Friday evening before 6pm on the plan for overnight EMU/LTM studies. Fellows are responsible for all patient phone calls and any new studies started over the weekend; however, faculty are always available for backup as needed.
    2. The total cap per day for overnight LTM/EMU studies for a fellow to be responsible for is 6 (assuming all are scalp studies). However, reviewing a Phase 2 patient would be equivalent to reading 2 scalp LTM/EMU studies. The remainder of the studies will be the responsibility of the faculty.
    3. The fellow should prioritize studies they are familiar with (eg. if a fellow on call was on LTMs the past week, then they will focus on LTM studies, then Phase 2 patients, and then add other EMU patients until the cap is reached).
    4. If a fellow was on a service that has no weekend patients, then the default will be to focus on Phase 2 patients (greater educational value), then LTM studies at BSL/BT, and then EMU studies, unless the cap is reached. Clinical Neurophysiology & Epilepsy Fellowship Programs
    5. Completion of signout for both EMU and LTM services will primarily fall on fellows to complete with assistance from the faculty as needed.
